The role is assigned to a named key Team to provide critical support to enable the Team to deliver the total portfolio of Programmes, Tactical Projects and work packages for other projects to progress to plan and within budget and delivery to business case expectations.
The role also allows Team Directors, Programme and Project resources to focus on higher value-adding delivery activities by managing on behalf of a programme activities related to internal processes, methods and programme administrative tasks
Planning & Prioritisation
Have a single view of new demand coming in to a team and to assist in the prioritisation of new projects and initiatives
Produce single oversight & trend analysis reports for a specific team
Resource & Capacity Management
Management of the resourcing lifecycle – new requests for resources, support the leadership team in the allocation of resources, providing a consolidated view of resource requests and utilisation, and supporting changes as required throughout the lifecycle.
Management of resource forecasting tool for a team - including production of team report and associated actions
Lead for Time Recording / internal capitalization actions and issues
Method & Tool Application
Help drive the consistent application of delivery methods – Waterfall, Agile and use of the supporting tools
Governance & Compliance
Have an overall Air-Traffic control view of all in-flight deliveries
Centrally managing a tollgate plan including scheduling of required tollgates
Assisting projects with Go-Live planning and engagement with Service Delivery routines
Co-ordination of project change requests – including help drive approvals
Supporting Risk, Issue and Dependency Management processes with templates and standards.
Co-ordination of executive reports & production of dashboards for projects, programmes and portfolios.
Assistance in internal quality control and internal audit activities
Project Lifecycle Planning
Lead for SNOW (ServiceNow) reporting & SNOW project Master Data Management
Held drive document management & control
Help support in the creation and maintenance of Business Cases
Lead the production of routine Cost Forecasts
Provide Buying / Purchasing support including raising Purchase Requisitions, Purchase Orders and Good Receipting.
Provide the consolidated view of the team portfolio financials, list of POs per project, backlog, etc.
Change Management & Communications
Help manage and coordinate the deployment of project changes to agreed change management plans as required.
Create and maintain tower distribution lists, support for tower teams communication, support for tower Town hall coordination (booking, webex enable, ppt deck consolidation,…), support for tower meetings logistic.
Support training coordination (plan, communication, logistic, coordination with the trainer, …)
Support onboarding process for new resources
Create/update team SharePoint with templates, reports, and relevant documentation for the team and leadership
