A company providing recurring product deliveries across Europe faced critical inefficiencies in its German customer service operations. A backlog of over 15,000 unresolved service cases and slow response times jeopardized customer satisfaction and operational efficiency.
Challenge:
Severe backlog of 15,000 service cases in Salesforce
Inefficient manual categorization and routing of requests
Incomplete and inconsistent data across systems
No effective integration between Salesforce (Service) and D365 F&O (Operations)
Lack of automation and limited IT support for key service processes
Approach & Solution:
Process Analysis: Mapped and analyzed the end-to-end service handling process
Data Engineering: Cleaned and synchronized customer and transactional data across Salesforce and D365 F&O
System Integration: Closed the integration gap between systems to enable end-to-end visibility
AI Case Classification: Selected Google Vertex AI, developed and trained ML models to classify and route service cases automatically
GDPR Compliance: Tokenized all personal data to ensure privacy and legal compliance
Stakeholder Alignment: Convinced executive board of strategy, ensured cross-departmental buy-in, and led implementation
Results:
Backlog reduced from 15,000 to 1,500 cases
Average case resolution time reduced from 5 business days to 1
Customer service staffing requirements reduced by 35% through intelligent automation
