Discovery phase for S/4 Conversion

As part of the company strategy, the discovery phase focused on reviewing all processes in the Controlling module and identifying potential improvements, so that the Controlling team could reduce working times, automate processes, gain transparency in the results and increase efficiency.

Overall budget for the discovery phase over 900k€. For the Controlling part of the project a budget was set for 100k€.

Discovery phase of the Controlling area

As part of the customer strategy for a future S/4 conversion, the first step has been defined as a merger of the several and different SAP systems existing among the European subsidiaries of the company.

Identifying the synergies and the divergences of the technical and functional processes is the main scope of this discovery phase, so that a global template can be defined and implemented. Main issues of this project in the financial and controlling areas are: traditional GL solution, decentralized chart of accounts, differences in the business models (own production vs subcontracting), etc.

The German subsidiary and the Spanish one count on different working teams, due to the need of working on mother tongue on both sides. The CO area was fully covered by myself.

Overall budget of about 3Mio. € for the whole project. For a discovery phase, a budget of 500k€ has been released.

Discovery phase for S/4 Conversion

After implementing a HANA data bank, the customer scope is set to finally complete the system conversion onto the S/4 release.

The discovery phase is defined to identify all needed resources to cover the conversion, considering the interfaces to create, the conversion to the standard processes of the system for each involved area, identifying all changes needed for this. The scope of the project is considered as a brownfield project.

Overall budget of about 85k€ for the discovery phase. For a whole implementation, considering over 65 company codes and corresponding processes, a budget of around 2 Mio.€ has been mentioned, but not released until finalizing the discovery phase.

New solution for integrating SAP Analytics Cloud with the Integrated Business Planning tool

Based on SAP platform, the aim of the project consists of creating the structures and processes of combining the manufacturing plan with constrained demand and the SAC platform of SAP to make data-based decisions in a short period of time.

This architecture involved different platforms and technologies, being SAC the central component for financial predictions and simulations and keeping a constant exchange of information with the manufacturing platform.

As project lead, I was in charge of budget, direction of the development and presentation of the project to stakeholders (mainly, managers from the Japanese holding) for the SAC part of the product.

Internal budget of 250k €.

Definition and implementation of standard solutions in the Controlling area

First S/4 HANA implementation for a first tier supplier in the automotive industry, for the two existing plants of Ukraine. Limiting my functions to the CO module, I am in charge of developing new solutions to cover the needs for transparency and control of manufacturing costs and material prices.

Due to special needs for covering a highly volatile price of some raw materials, my project functions are not only limited to the product costing procedures, but to the inventory valuation and corresponding accountability of the responsible ones at the end of the period. Thus, acting as a bridge between functional specialists, technical consultants and auditors of local requirements, I am in charge of defining the processes and validating results.

As first pilot, this project is supposed to be rolled out to other plants in Eastern European countries and several plants in American and Asian regions as well.

Study about the challenges of a CFO from a functional perspective

The internal project focuses on analyzing the background of the CFO today, understanding motivations and needs and developing the corresponding pool of offerings.

Starting with a deep analysis of the current potential customers, the study was focused on the role of the CFO and the changes in the environment that thrive new typologies of functional needs. Furthermore, the results of this study present a pool of new solutions aimed to cover these needs.

Internal budget of 30k €.

Proof of Concept for worldwide implementation of S/4 HANA system – Responsible for Controlling

As responsible for Controlling topics and its integration with different modules of SAP and different external systems, my main duty consists of leading workshops together with stakeholders, present the main advantages the new S/4 HANA system present (compared to old versions of SAP –ECC- and to other external systems) and describe the requirements users and managers set as priorities for a future architecture of the system.

The project is still on going and will take until end of July.

Modules: CO-OM, CO-PC, CO-PA and integration topics with other modules and systems.

New solution for Digitalization of Maintenance services

Based on SAP platform, the aim of the project consists of creating the architecture and connect it with a SAP S/4 HANA system for digitalization of maintenance processes for manufacturing companies.

This architecture involved different platforms and technologies, being a central piece of itself the generation of IoT data, which would be processed by machine learning algorithms and finally would trigger different processes within the SAP ecosystem, so that unplanned downtimes could be avoided.

As project lead, I was in charge of budget, direction of the development and presentation of the project to stakeholders (mainly, managers from the Japanese holding).

Definition for the S/4 Production system template

Client’s system landscape: having different SAP systems for each production plant, the upgrade from ECC 6.0onto S/4 systems must be planned and carried out in a gradual form. For this reason, our client plans to create a general template for all plants which must be upgraded to S/4 before 2025.

Main scope: Create a template for the FI and CO modules, which can be applied in further phases of the project on all production plants. This concept (template) must also be defined to exchange financial information with the corresponding SAP systems of the central finance project.

Brownfield implementation/ Greenfield implementation for new companies of the holding

Client’s system landscape: one year after the first SAP implementation (system ECC 6.0), the client decided to run an upgrade of the SAP system and implement the S/4 System (on premise). The initial project was defined as a 1:1 customizing implementation. After a successful Go Live in 4 months, a following project for a Greenfield implementation of other companies of the holding started.

Main scope: for the first brownfield project, the customizing settings for FI and CO were to be transferred from the ECC 6.0 system into the S/4 system. The greenfield implementation project consists of the definition, concept and implementation of the existing business processes, including Product Costing and the activation of Material Ledger.

- Definition and implementation tasks:
• I was in charge for the definition of the processes and evaluation of the results. Moderating all Workshops for the finance and controlling areas, one of my main tasks are managing the different sprints of the agile project. The implementation of the customizing settings, individual and integrative tests also count for my main tasks of the project.

Integration of financial processes for Intercompany invoicing

Client’s system landscape: due to the creation of a new plant in USA for distributing spare parts of OEMs, a new distribution hub was planned for a worldwide effective transport of these parts.

Main scope: NAFTA suppliers must send first the parts to this distribution hub; in a second step, the US company will distribute the needed amount of the purchased parts to the other production plants around the world.

Implementation of Letter of Credit (Risk Management)

Client’s system landscape: green field implementation on S/4 HANA with integration of the main modules: FI/ CO-OM/ CO-PC/ CO-PA/ PP/ MM/ SD/ QM.

Main scope: some customers of this company are based in non-trusted countries, where the risk of unpayability is too high. For this reason, either the client or even the country of their customer requires a letter of credit procedure to import or export.

• Budget: 40.000€.
- Definition and implementation tasks:
• The Letter of Credit procedure consist of some very specific steps, which are up to the 1709 release of S/4 totally integrated into the ERP system and not only in the GTS system of international trade.
• In charge of the project, my main responsibility is the customer relationship and management of the resources.

Activation of Material Ledger (Actual Costing) with different currencies

Client’s system landscape: eight different productive systems working together and sharing specific information via IDocs (master data, postings, sales orders and purchasing orders). The project has been led for the new factory in Mexico, where legal requirements set the mandatory rule, that all materials must be balanced in Mexican Pesos and US Dollars as well (Group currency is Euro). Furthermore, internal material movements must not post exchange rate differences.

Tasks and responsibilities:

- Management tasks:
• Team size: 2 people involved in the project.
• Budget: 300.000€ split among 2017 and 2018.
- Definition and implementation tasks:
• Definition of the initial requirement as a method to avoid currency differences by goods movements within the company: Both modules General Ledger (FI) and Controlling (CO) must never post currency differences by goods movements which have been posted to the stock earlier on and are valued at a standard price.
• Definition and test of around 10 different Add Ons which post incoming and outgoing documents in FI after being purchased.
• For this purpose, the material ledger module had to be implemented, so that the material master data could be run in three parallel currencies and at a standard price.
