Key Responsibilities – Offshore Logistics Coordinator (LC)

-Transport & Installation (T&I) Management Team | Offshore Substation Installation Projects

1. Offshore & Marine Logistics Coordination
-Coordinate daily offshore logistics operations involving Jack-Up Barges (JUB), Crew Transfer Vessels (CTV) and supporting marine assets.
-Plan and coordinate personnel, fuel, cargo, equipment and material transfers between ports, vessels and offshore substations.
-Prepare, verify and maintain CTV passenger and cargo manifests in accordance with project marine procedures.
-Coordinate transfer requests and obtain operational clearances through Marine Coordination.
-Review CTV and Jack-Up Barge Daily Progress Reports (DPRs), vessel utilisation and operational activities.
-Coordinate logistics requirements for installation, cable works, construction and commissioning contractors.
-Maintain operational communication with vessel masters, Jack-Up Barge teams, offshore management and project stakeholders.

2. Personnel, Crew Change & Site Coordination

-Plan and coordinate offshore crew rotations, personnel mobilisation, demobilisation and daily transfers.
-Manage PAX/POB documentation, personnel movements and offshore access requirements.
-Conduct site inductions and verify GWO training, medical fitness and offshore certification requirements.
-Coordinate personnel transfers with Marine Coordination, vessel masters, --Installation Offshore Managers (IOM) and Offshore Platform Managers.
Participate in daily coordination meetings, operational briefings and toolbox talks.
-Support safe offshore transfer planning based on vessel availability, weather conditions and operational priorities.
3. Material, Equipment & Port Logistics
-Coordinate the delivery, reception, staging, storage and offshore transportation of cargo, materials and equipment.
-Manage logistics interfaces at Mukran Port and Rostock Port, including quayside operations and offshore supply preparation.
-Coordinate onshore storage facilities, equipment tracking, PPE storage and project office logistics.
-Arrange urgent material deliveries and short-notice CTV transfers.
Coordinate Dangerous Goods documentation, offshore backloads, waste handling and disposal through approved service providers.
-Maintain communication with suppliers, transport companies, port operators and offshore contractors.

4. Logistics Budget Management, Cost Analysis & Optimisation
-Prepare and maintain logistics budgets and cost forecasts for CTV, JUB and supporting transportation activities.
-Monitor vessel charter utilisation, operational hours, standby periods and additional logistics costs.
-Prepare monthly logistics cost reports, including vessel utilisation, transportation expenses and budget performance.
-Analyse planned versus actual costs and identify potential cost deviations.
Review and verify CTV, Jack-Up Barge and onshore logistics service invoices against operational records, DPRs and agreed commercial conditions.
-Support cost optimisation through efficient vessel scheduling, transport planning and resource utilisation.
-Provide logistics cost evaluations and recommendations to the T&I Management Team.

5. Logistics Procedures, Manuals & Process Development
-Develop and maintain project-specific Logistics Manuals, Logistics Concepts and Standard Operating Procedures (SOPs) for offshore installation activities.
-Prepare logistics workflows, operational flowcharts, crew change procedures and transport coordination processes.
-Establish procedures for CTV operations, passenger manifests, cargo transfers, port logistics, equipment management and offshore supply.
Develop logistics documentation and coordination processes for both OSS installation projects.
-Identify process improvements based on operational experience and lessons learned.
-Support standardisation of logistics procedures across project teams, vessels, ports and offshore installations.

6. Operational & T&I Project Management Support
-Support the T&I Management Team throughout offshore construction, OSS installation and commissioning activities.
-Coordinate operational interfaces between Project Management, Marine -Coordination, Offshore Platform Managers, Installation Offshore Managers, vessel crews and installation contractors.
-Monitor weather conditions, vessel availability and offshore access restrictions affecting logistics operations.
-Identify operational constraints and coordinate alternative logistics solutions.
-Support mobilisation, operational readiness, installation activities, commissioning and demobilisation.
-Maintain daily logistics status updates, operational documentation, action trackers and project handovers.

7. Daily Meetings, Stakeholder Coordination & Project Progress
-Participate in daily T&I, marine operations and logistics coordination meetings.
-Attend weekly stakeholder and project progress meetings.
-Provide updates on vessel operations, crew transfers, personnel availability, cargo deliveries, logistics costs and operational constraints.
Coordinate logistics priorities with installation contractors, vessel operators, offshore management and project stakeholders.
-Track logistics-related project milestones, outstanding actions and upcoming operational requirements.
-Support continuous improvement of project logistics processes and communication between onshore and offshore teams.

8. Onshore & Offshore Operational Support
-Provide onsite logistics coordination at Mukran Port (Sassnitz) and Rostock Port, Germany.
-Support offshore operations involving JUB Seafox 2 and Seafox 4 in the German Baltic Sea.
-Coordinate logistics requirements between onshore project offices, ports, offshore vessels and OSS installation sites.
-Support efficient execution of offshore logistics activities throughout the T&I project lifecycle.

Overall Responsibility:

Provide integrated Offshore Logistics Coordination, Marine Operations Support, Logistics Budget Monitoring, Cost Optimisation, Process Development and T&I Project Management Support, ensuring effective coordination of personnel, vessels, materials, equipment and operational resources from initial project preparation through installation, commissioning and final logistics close-out.
